Good communication is a key factor that contributes to success at any job or business.

As humans, we were born with the ability to communicate with one another. However, there are some times when the lines are blurred and a miscommunication occurs.

How does one overcome something like this?

The first thing to recognize is that communication can be viewed as a process. This can make the whole concept easier to put into words (pun intended). 😉

Let’s break it down into Steps!

Step 1: Idea. Seems simple enough. The person that has an idea wants to share it with others! This is where the communication process starts!

Step 2. Encoding. The sender of the message encodes or puts the idea into words that the receiver of the message will understand. Alright, we’re getting closer!

Step 3. Choosing a tranmission medium. In order words, the “sender” choose how to pass the message along; whether it is verbal or written.

Step 4. Transmission through a channel. Let’s say for example Jack wants to convey his idea to his friend Sam. He chooses to write down his idea. Then he goes through the channel of email to send the message.

Step 5. The intended audience receives the message. Remember Jack and Sam? Well, Jack sent the email, and it’s Sam’s turn to do his part. Sam has received Jack’s message.

Step 6. Decoding. Sam reads the email and it sparks in his brain and hopefully he understands exactly what Jack tried to tell him.  This part of the process can get a little tricky because if the message isn’t properly written for the audience, the message will not go over well.

Step 7. Response. Sam read the message, now he has to respond to it. If Jack wrote his email in a way that prompts Sam to respond, it will give better odds that Sam responds in the way that was intended.

Step 8. Feedback. To Jack’s benefit, Sam provides feedback on the idea and may suggest room for improvement or ways to even improve Jack’s communication skills. Feedback can range from facial expressions, to down right “I didn’t get that. What do you mean?” Nobody wants to hear that! So let’s take a look at how we can improve!

Effective Communication Qualities

1. Providing Good Information. Not just “meh, good” information but GOOD, USEFUL INFORMATION! Nobody wants to hear useless dribble, put those lips to work! 😀

2.Provide Facts, not just assumptions or opinions. By having information that is backed by confirmed evidence, the receiver of the message will be impressed with your everflowing knowledge.

3. Give information in a concise manner. Basically, Get To The Point Already! Time is money and people are busy, so say what you have to say and make it quick!

4. Be clear with your expectations and responsibilities. Write messages in a way that prompts a response from the recipient. This gives the opportunity for them to respond in a way that shows you they get it.

5. Offer recommendations that are persuasive. This shows the audience how they will benefit from your message.

So there you have it! By using these tips, you’ll be on your way to improving your communication skills and pave the way toward success!
